Job Description

General Summary

Oversee and assist in performing duties required of the Recorder’s Office, including processing vital records, recording documents and selling hunting, fishing and recreational vehicle licenses and perform related duties as required. Oversees office operations and functions in the absence of the Recorder.

 

Essential Duties and Responsibilities

· Provide exceptional customer service in a timely and courteous manner

· Report all issues to Recorder in a timely manner and assist with resolution of any problems and/or issues.

· Daily balancing of all transactions including preparing deposits on a regular basis. Maintain spreadsheet and report all overages/shortages or discrepancies to the Recorder.

· Maintain accounts payable billing on a weekly basis. Process all accounts receivable and maintain spreadsheet.

· Maintain all vital records safety paper inventory. This may include checking inventory daily to insure all paper is accounted for as well as stocking inventory upon receipt.

· Provide leadership that will insure a pleasant environment for customers and employees

· Performs other duties as assigned.

Job Requirements

Minimum Qualification

High School Graduate and/or work experience in a customer service environment. 

 

KNOWLEDGE

Technical Knowledge

· Computers and electronic data processing

· Word processing software (i.e. Microsoft Word)

· E-mail (i.e. Outlook)

· Multi-line phone

· Other office equipment such as copiers, printers, typewriter, etc.

 

Other Knowledge

· Clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology

· Insure that employees are adhering to all state, federal, county or local policies as well as any office policies as set out by the Recorder.

· Use computers and computer systems (including hardware and software) to set up functions, enter data or process information

· Must be able to make change manually and/or count back change to the customer

· Understand and comprehend simple oral and/or written instructions, short correspondences and memos

· Ability to read, comprehend and follow all procedure manuals for various entities

· Be reliable, responsible and dependable in fulfilling obligations

· Be open to change in the workplace

· Physical ability to lift large books, boxes of records and climb a ladder. Able to lift at least 50 pounds.

 

Working Conditions

Normal office environment

Job Hours

Normal working hours: 8:00 a.m. to 4:30 p.m., Monday through Friday with one hour lunch. Employees will work later as needed.
